How to reserve the elevator

If you are moving out of your apartment, you need to reserve the elevator. Here’s what you have to do.

  • Contact the manager via email, or ask the front desk manager for help. Tell them you’re moving out.
  • The concierge will provide you with a specific timeframe when you can use a freight elevator. You can pick the timeframe that suits you best.

What to do if you don’t have a concierge in your building?

In that case, email your landlord or the management company. They will provide you with instructions on how to move out.

Sometimes you can use an elevator, telling nobody that you intend to quit your apartment. You can just come and utilize it with no notice. But mostly, it’s a good idea to check in with your management company, and tell them you are vacating, and you need to reserve an elevator.

If you hire a moving company to reserve an elevator, you need to provide the COI a.k.a. the certificate of insurance. This has to be done because the management company has specific rules for moving companies who will come into the building. They will be required to supply a certificate of liability insurance, a certificate of umbrella insurance, a workers’ compensation insurance, and an auto insurance certificate.

If some of these polices are missing, or they do not meet the minimum requirements, the management company can refuse the moving company to step into the building. In such a case, find another moving company that will carry sufficient moving insurance coverage.

Most times, only one business day is required to get a certificate of insurance.

Here is how it works:

  • The moving company of your choice needs a sample of COI from the building management company or the concierge.
  • The concierge emails this document to the customer.
  • The customer forwards it to the moving company.
  • The moving company passes the sample of COI to the insurance company.
  • The insurance company usually takes two days to fill in the language for the certificate of insurance.
  • The insurance company sends it back to the moving company and, then, back to the customer, or straight to the management company, or the concierge.
  • The concierge has to approve the certificate of insurance.
  • After approval, you can reserve the elevator.
